CivicEventOS is operated by Balthrop Logic Operating Systems Inc.
CivicEventOS is a municipal event operating system used by cities, public agencies, arts centers, venues, and other organizations to manage ticketing, class and workshop registration, box office activity, patron communications, access control, payment processing, settlement reporting, support requests, and related event operations.
This Privacy Policy explains how Balthrop Logic Operating Systems Inc. and the CivicEventOS platform collect, use, process, store, and protect information when patrons, registrants, staff users, administrators, and other authorized users access or use CivicEventOS websites, tenant portals, checkout pages, registration pages, support tools, and related platform services.
In many cases, CivicEventOS operates on behalf of a municipal venue, public agency, or other tenant organization. The tenant organization may control the event, class, venue, registration, refund, communication, and public-records policies applicable to its own programs.
CivicEventOS may collect information that is provided directly by patrons, registrants, tenant staff, platform administrators, or tenant organizations. This may include names, email addresses, phone numbers, billing details, mailing addresses, ticket orders, class or workshop registrations, attendance records, digital ticket activity, QR code validation activity, refund history, customer service communications, support tickets, and other information needed to provide the platform.
For class, workshop, youth, family, or educational registrations, the platform may collect participant information, guardian or emergency contact information, registration answers, intake form responses, accessibility-related information voluntarily submitted, and documents or acknowledgments required by the tenant organization.
For staff and administrative users, CivicEventOS may collect account information, login credentials, role assignments, permission settings, device activity, scanner activity, box office actions, audit logs, support communications, and other operational records related to platform administration and security.
CivicEventOS may also collect technical information such as IP address, browser type, device information, pages visited, timestamps, referral information, session activity, cookie data, system logs, and security or fraud-prevention information.
CivicEventOS does not store full payment card numbers on its own servers. Payment card information is processed by approved third-party payment processors, such as Stripe or another processor approved for a specific tenant implementation.
CivicEventOS may store limited payment-related metadata, including transaction identifiers, payment status, refund status, order totals, service fees, processor fees, settlement references, payment method type, last-four-digit information if provided by the processor, and related accounting or reporting data needed for platform operations.
Payment processing may also be governed by the privacy policies and terms of the applicable payment processor.
We use collected information to operate, maintain, secure, and improve CivicEventOS and to provide services requested by tenants, patrons, registrants, and staff users.
This includes processing ticket purchases, issuing digital or printed tickets, managing reserved seating and general admission events, processing class and workshop registrations, sending order confirmations, delivering event reminders, supporting box office operations, validating tickets at entry, processing refunds or voids, maintaining patron CRM records, generating reports, supporting settlement and accounting workflows, responding to support requests, and protecting the platform from unauthorized use or fraud.
We may also use information to communicate with users about transactions, registrations, account activity, security issues, service updates, administrative notices, support matters, and tenant-authorized event or program communications.
CivicEventOS is a multi-tenant platform. Each tenant organization is responsible for the accuracy of its own event listings, class descriptions, prices, refund rules, venue policies, registration requirements, communications, staff access, and public-facing content.
Tenant organizations may access patron, ticketing, registration, reporting, settlement, and operational data associated with their own tenant account. Tenant staff access is controlled through role-based permissions and administrative settings.
Where CivicEventOS processes information on behalf of a tenant organization, Balthrop Logic Operating Systems Inc. uses that information to provide, support, secure, maintain, and improve the platform, and to comply with applicable legal, contractual, accounting, audit, security, and operational obligations.
CivicEventOS may share information with tenant organizations, payment processors, hosting providers, email or messaging providers, support vendors, analytics or security providers, professional advisors, and other service providers that help operate the platform.
We may also disclose information when required by law, court order, subpoena, public-records process, government request, legal claim, audit requirement, tax or accounting obligation, or to protect the rights, safety, property, or security of CivicEventOS, Balthrop Logic Operating Systems Inc., tenant organizations, patrons, staff users, or the public.
CivicEventOS does not sell patron personal information.
CivicEventOS may send transactional communications, including order confirmations, tickets, registration confirmations, receipts, refund notices, event reminders, class reminders, security alerts, support responses, and administrative notices.
Tenant organizations may use CivicEventOS to send event announcements, program updates, surveys, reminders, or marketing communications where permitted. Users may opt out of marketing communications where an opt-out mechanism is provided. Transactional, security, legal, and administrative communications may still be sent even if a user opts out of marketing messages.
CivicEventOS may use cookies, session storage, and similar technologies to operate the website, maintain login sessions, support checkout and registration workflows, remember user preferences, improve performance, prevent fraud, and secure the platform.
Users may be able to control certain cookie settings through their browser. Disabling cookies may affect checkout, registration, staff login, ticket management, or other platform functionality.
CivicEventOS uses administrative, technical, and organizational safeguards designed to protect information from unauthorized access, disclosure, alteration, or destruction. These safeguards may include HTTPS/SSL encryption, role-based access controls, tenant isolation, audit logging, limited administrative access, secure payment processor integrations, activity monitoring, backup procedures, and support-ticket controls.
No system can guarantee absolute security. Users are responsible for protecting their login credentials, using secure devices, and promptly reporting suspected unauthorized access or account misuse.
CivicEventOS retains information for as long as reasonably necessary to provide the platform, support tenant operations, maintain ticketing and registration records, process refunds and chargebacks, support accounting and settlement reporting, comply with legal obligations, preserve audit logs, resolve disputes, enforce agreements, and protect platform security.
Certain records may be retained for longer periods where required by tenant policy, public-records obligations, tax or accounting requirements, legal holds, audit needs, fraud prevention, or backup and disaster recovery processes.
Some tenant organizations using CivicEventOS may be public bodies or government-related entities subject to public-records, procurement, audit, or records-retention laws. The tenant organization is responsible for determining whether information maintained through CivicEventOS is subject to disclosure, exemption, retention, or production under applicable law.
CivicEventOS may reasonably assist tenant organizations with data access, export, audit, or records requests in accordance with the applicable contract and law.
CivicEventOS may support class, workshop, educational, youth, family, or community programming where participant or guardian information is needed for registration, emergency contact, safety, attendance, or program administration.
Tenant organizations are responsible for determining what participant information is required for their programs and for obtaining any consent required by their own policies or applicable law. CivicEventOS uses such information to provide the registration and operational services requested by the tenant organization.
Depending on applicable law and the user’s relationship with a tenant organization, users may have rights to request access to personal information, correction of inaccurate information, deletion of certain information, a copy of certain information, or opt-out of certain types of processing or communications.
These rights may be subject to identity verification, tenant approval, transaction record requirements, public-records obligations, accounting requirements, legal obligations, fraud prevention, security needs, and other lawful exceptions.
Requests related to a specific event, ticket order, class registration, refund, or tenant program may need to be directed to the applicable tenant organization.
CivicEventOS may link to or integrate with third-party services, including payment processors, tenant websites, map providers, email services, social media platforms, analytics providers, and other tools. Those third-party services may have their own privacy policies and terms. CivicEventOS is not responsible for the privacy practices of third-party services that it does not control.
Balthrop Logic Operating Systems Inc. may update this Privacy Policy from time to time. Updates will be posted on the CivicEventOS website or applicable tenant portal with a revised effective date. Continued use of CivicEventOS after an update means the updated Privacy Policy applies to future use of the platform.
